About Wave Antiques
Wave Antiques celebrates craftsmanship, history, and design. Founded on five generations of family heritage, we curate fine antique jewellery that carries timeless character and provenance. Every piece in our collection is handled with care, accuracy, and respect for its story.
We’re looking for a Jewellery Admin / Stock Coordinator to join our growing team — someone detail-oriented, organised, and passionate about maintaining the highest standards of presentation and accuracy.
Role Overview
This role ensures the smooth running of our jewellery stock system and supports the journey of each piece — from intake to leasing with our photography team, all the way to point-of-sale. You will manage product information, track repairs and condition, and help maintain consistency across all listings and records.
You’ll work closely with our photography, workshop, and sales teams to ensure every item is accurately described, beautifully presented, and ready for our customers and collectors.
Key Responsibilities
Stock & Data Management
- Input and update product details in our stock system (Our internal database and Shopify), including titles, descriptions, materials, measurements, and pricing.
- Maintain accurate stock levels and ensure physical and digital records match.
- Organise items efficiently, assigning SKU codes and ensuring consistent naming and categorisation.
- Generate reports on stock levels, product movement, and listing progress.
Condition & Quality Control
- Check all jewellery pieces for condition, cleanliness, and completeness before listing or dispatch.
- Record and track items requiring repair, resizing, or cleaning.
- Liaise with our workshop and customers to monitor progress and ensure all items meet presentation standards.
- Maintain repair and service logs for reference and accountability.
Photography Coordination
- Work alongside the photography team to tag and track items through the shoot, editing, and upload process.
- Ensure each photographed piece is matched accurately with its correct product record.
- Upload and organise final images within our system, maintaining image naming conventions and quality control.
General Administration
- Prepare and maintain accurate documents, stock reports, and audit files.
- Support the operations and e-commerce teams with data checks and content updates.
- Help ensure all systems and records are consistent across departments.
Skills & Experience
Essential
- Experience in inventory management, product administration, or retail operations.
- High attention to detail and accuracy in data entry.
- Competent with Shopify, Google Sheets, and/or Excel.
- Organised and able to manage multiple priorities effectively.
- Strong written English and confident communication skills.
Desirable
- Basic knowledge of jewellery, including materials, hallmarks, and gemstone types.
- Experience with photography workflows or digital asset management.
- Background in luxury retail or antique goods.
Personal Qualities
- Precise, methodical, and reliable.
- Strong sense of ownership and pride in maintaining standards.
- Collaborative and comfortable working with small specialist teams.
- Passionate about jewellery, design, and craftsmanship.
What We Offer
- Opportunity to work closely with rare and historic jewellery.
- Training in jewellery identification and care.
- Competitive pay and development opportunities.
