How Wave Antiques looks after your information

A short note from us
Wave Antiques is a small jewellery business in Hatton Garden. We know that buying or asking about jewellery often involves sharing a few personal details, and we take that trust seriously. This page explains, in plain English, what we do with your information, why, and how you can ask us to do something differently. We have tried to keep the legal jargon to the parts where the law genuinely requires it.

We are defined as the “controller” of your information. This means we define how your data is used, why it is captured, and are responsible for keeping it safe and compliant with privacy laws.
What we collect
We only collect what we genuinely need. Depending on how you get in touch with us, that might include:
- Your contact details: name, email, and phone number if that is how you message us.
- A photo for your appointment: because we operate from a secure jewellery office rather than a shopfront, we may ask for a recent photo before your appointment so our team can recognise you when you arrive. We use it only for that visit and delete it shortly afterwards (within 30 days, or sooner if you ask).
- What we have talked about: the messages you send us by email, WhatsApp or Instagram, and the items, valuations or quotes we have discussed.
- Order details: delivery address, what you bought, and confirmation that payment went through. We do not store your card details ourselves; the payment provider handles that.
- Marketing preferences: if you have ticked the box to receive our emails, we keep a record of that consent, what we have sent you and which links you opened.
- Website information: basic technical data like the device and browser you use, and which pages you visit. The cookie banner explains this in more detail; opt-in only.
- CCTV at the office: like most jewellery businesses in Hatton Garden, we have cameras at our premises. There is signage at the entrance to let you know.
- Information for legal checks: where the law requires, for example for certain high-value cash transactions, sanctions checks, fraud prevention, or other regulatory obligations, we may need to ask for additional information such as an ID document. We only do this where we have to, and we tell you in advance.
We do not ask for sensitive information like health details. Please do not send us any unless we have specifically asked.
Children’s Data
The Services we render are not intended to be used by children, and we do not knowingly collect any personal information about children. If you are the parent or guardian of a child who has provided us with their personal information, you may contact us using the contact details set out below to request that it be deleted.
As of the Effective Date of this Privacy Policy, we do not have actual knowledge that we “share” or “sell” (as those terms are defined in applicable law) personal information of individuals under 16 years of age.
How we use your information
- Providing Products and Services. We use your personal information to provide you with the Services in order to perform our contract with you, including to process your payments, fulfil your orders, to send notifications to you related to your account, purchases, returns, exchanges or other transactions, to create, maintain and otherwise manage your account, to arrange for shipping, facilitate any returns and exchanges and to enable you to post reviews.
- Marketing and Advertising. Where you have given us your consent, we use your personal information for marketing and promotional purposes, such as to send marketing, advertising and promotional communications by email, text message or postal mail, and to show you advertisements for products or services. This may include using your personal information to better tailor the Services and advertising on our Site and other websites. You can withdraw your consent or opt out of marketing communications at any time by using the unsubscribe link in our emails or by contacting us.
- Security and Fraud Prevention. We use your personal information to detect, investigate or take action regarding possible fraudulent, illegal or malicious activity. This processing is necessary for our legitimate interests in protecting our business and our customers.
- Communicating with You. We use your personal information to provide you with customer support and improve our Services. This is in our legitimate interests in order to be responsive to you, to provide effective services to you, and to maintain our business relationship with you.
How we disclose your information
We share information only where we need to, and never sell it. The kinds of organisation we share with are the tools that run our business, payment providers and couriers, our advisers (where they need it) and the authorities such as HMRC or the police where the law requires us to share it.
Where your information is stored
Some of the tools we use, like Shopify and Klaviyo, are run by companies based outside the UK, mostly in the United States. The law allows this where we have appropriate safeguards in place. We rely on either the UK Extension to the EU-US Data Privacy Framework (where the supplier is certified) or standard data protection clauses approved by the UK regulator. If you would like the detail for any specific provider, just ask.
Your rights
You have a number of rights over the information we hold about you.
- See it: ask for a copy of what we hold.
- Correct it: ask us to fix anything that is wrong.
- Delete it: ask us to remove your details (subject to records we are legally required to keep).
- Pause it: ask us to stop using your information for a while.
- Take it elsewhere: ask for a copy in a format you can give to someone else.
- Object: ask us to stop, particularly for marketing.
- Withdraw consent: any time, where we are relying on your consent.
Just email us using the address in “Who we are”. We will respond within a month, and there is no charge.
Changes to this notice
We may update this page from time to time. The “last updated” date at the top will tell you when it last changed. If we make a significant change we will let you know, for example through a notice on the website or in our next email.
